By booking a camping pitch or glamping accommodation at Stackpole Under The Stars you agree to abide by the following Terms and Conditions and site rules. This establishes a legal contract between you and Stackpole Under The Stars.
The Greener Camping Club
Our location in the Pembrokeshire Coast National Park means we are only able to operate as a camping and glamping site within tight planning controls which protect the environment. To comply with this policy, we must be affiliated to a members-only camping club. We chose the Greener Camping Club, meaning we are a Greener Camping Club members-only ‘Certificated Campsite’. Membership costs £12 for the calendar year. This amount is added to your camping fees when you book. Only one membership is required for each pitch or glamping accommodation booked. We’ll issue your membership confirmation email before you arrive for your holiday. Find out more about the club: www.greenercamping.org.
Payment
We request a 50% conditionally-refundable deposit to secure your camping or glamping pitch booking. This is payable by bank transfer, or via our website booking system. We will hold the reservation open for you for 7 days – after which time the dates will be released again if the deposit is not paid. Confirmed receipt of your deposit confirms your booking. The balance is requested 4 weeks before your stay; you’ll receive an email reminder. If you book when your stay is imminent, e.g. you book within four weeks of your stay, the full amount is required to secure the booking. When making payments by bank transfer please give the surname of the person making the booking as the reference.
Cancellation by you
We understand that sometimes plans change. If you cancel more than 4 weeks before your stay, we may be able to offer you alternative dates subject to availability. If this is not possible, we keep the 50% deposit and you will not be required to pay the balance. If you cancel within 4 weeks of your stay and we can re-let your pitch, we keep the deposit but you will not be required to pay the balance. If we cannot re-let your pitch, no refund will be made (we retain your full payment). If you cancel within 7 days of your stay, no refund will be made (we retain your full payment). Stackpole Under The Stars is not liable for refunds or expenses you incur in the unlikely event of extenuating circumstances beyond our control. Such circumstances include (but are not limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events (‘Force Majeure’). In the unlikely event of such circumstances, you will not receive a refund but we may be able to offer alternative dates or, in certain circumstances, gift vouchers. If you are worried about the prospect of cancelling, please take out holiday insurance. Bookings are not transferrable to other guests without prior agreement from us in writing or email.
Cancellation by us
Stackpole Under The Stars reserves the right to cancel a camping or glamping holiday at short notice if we are unable to provide safe accommodation or camping facilities due to extreme weather conditions, ill health, fire, flooding or other extenuating circumstances beyond our control. Such circumstances include (but are not limited to) war, terrorism, riots or civil unrest, industrial action, natural disaster, epidemics, health risks or similar events (‘Force Majeure’). In the unlikely event of such circumstances, you will not receive a refund but we may be able to offer alternative dates or, in certain circumstances, gift vouchers. Stackpole Under The Stars cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation. If you are concerned about the prospect of cancellation, please take out holiday insurance. Please note: We do not give refunds or partial-refunds to guests due to undesirable weather or if guests decide to leave early.
Arrival and departure times
The arrival time for our camping pitches is from 1pm. For our glamping accommodation, arrival times begin from 4pm, but vary per accommodation. There is no last arrival time but we ask that you tell us if you expect to arrive after 9pm. On your day of departure, we ask that you vacate our camping pitches by 11am and our glamping accommodation by 9.30am.
Group bookings
As we are a small, quiet campsite and often attract young families, we only take exclusive (whole-site) bookings for large groups. We are happy for family groups to book pitches or accommodation together, but there is a maximum limit of 5 x pitches or accommodations bookable by any one group, unless you take out an exclusive (whole site) booking. (For example, you may not book 5 pitches and 2 yurts as a group. But you could book 3 pitches and 3 yurts, OR you could book ALL 10 lots of pitches and accommodations), This helps to ensure that all of our guests feel comfortable enough to enjoy their stay on our small site. We ask that all group members follow the campsite rules of consideration for others, or risk being asked to leave without refund. Please note that if you do not book all the pitches you need for your group at the same time, you may not be pitched alongside others in your group.
Parking
We operate a policy of no on-field parking, with the exception of motorhomes/campervans etc. that you are sleeping in. Full parking details are provided upon booking.
Dogs
We allow well-behaved dogs on leads. However, if we have a large number of dogs on the campsite we may restrict new bookings that include dogs. Please keep your dog on a lead and under control on site and clean up any mess, particularly as we often have young children playing barefoot in the field. Be aware that farm cats are regular visitors and we are adjacent to a dairy farm and accessible National Trust woodland. Dogs are permitted in our glamping accommodation but we ask that they are in a crate (preferably, otherwise bed/basket) at night and are not permitted on the beds, bedding or sofas. We reserve the right to charge for excessive cleaning as a result of your dog being in the glamping accommodation. If you would like to bring your dog, please call us to ensure our quiet, rural campsite is a good match for your dog. (If your dog is not happy on a lead – or more importantly if you will not be happy with your dog being on a lead – then we are sorry but this is not the campsite for him/her/you).
Campfires and barbecues
We do not allow disposable BBQs. Each of our glamping accommodations comes with a large outdoor fire pit with BBQ/grill rack, and we offer fire pits with BBQ/grill racks for hire on camping pitches. If you bring your own fire pit or non-disposable barbecue, you must sit it over one of our base units to protect the grass/ground. We reserve the right to temporarily ban all open flames if we deem there to be a serious safety risk in extreme weather conditions (e.g. strong wind or heat).
Lost/stolen property
Stackpole Under The Stars cannot be held responsible for any lost or stolen property.
Additional Terms & Conditions for our Glamping Accommodation
- Smoking, candles and burners
All of our glamping accommodation is strictly NO SMOKING. If you smoke, please do so outside and dispose of your cigarette ends in the campfire or ash bin. Please do not light candles in the accommodation, it is a fire hazard and can also create wax stains. Please do not use incense burners in the accommodation as it can take weeks for the scent to disappear. - Breakages/damage. Should any significant damage or breakage occur, other than acceptable wear and tear, a charge for replacement may be made. We reserve the right to charge for excessive cleaning where glamping accommodation has been left in an unacceptable condition, through waste, litter, presence of dogs, interference in the structure, movement of furniture and contents etc. Guests will be held responsible for any fire, smoke or general damage, or alteration to the structure caused by negligence.
