By booking a camping pitch or glamping accommodation at Stackpole Under The Stars you agree to abide by the following terms and conditions and site rules. This establishes a legal contract between you and
Stackpole Under The Stars.
The Greener Camping Club
Our location in the Pembrokeshire Coast National Park means we are only able to operate as a camping and glamping site within tight planning controls which protect the environment. To comply with this policy, we are affiliated to the Greener Camping Club. This means we are a Greener Camping Club members-only ‘Certificated Campsite’. Membership costs £10 for the calendar year. This amount is added to your camping fees when you book. Only one membership is required for each pitch or glamping accommodation booked. We’ll issue your membership card before you arrive for your holiday. Find out more about the club: www.greenercamping.org.
We request a 50% conditionally-refundable deposit to secure your camping or glamping pitch booking. This is payable by cheque or bank transfer, or via our online booking system which is accessible via our website or Cool Camping. We will hold the reservation open for you for 7 days – after which time the dates will be released again if the deposit is not paid. Confirmed receipt of your deposit confirms your booking. The balance is requested 4 weeks before your stay, this is debited automatically if you pay via the online booking system. If you book when your stay is imminent, i.e. you book within two weeks of your stay, the full amount is required to secure the booking. This is payable by bank transfer. When making payments by bank transfer please give the surname of the person making the booking as the reference.
Cancellation by you
We understand that sometimes plans change. If you cancel more than 4 weeks before your stay we may be able to offer you alternative dates, subject to availability. If this is not possible we keep the 50% deposit and you will not be required to pay the balance. If you cancel within 4 weeks of your stay and we can re-let your pitch, we keep the deposit but you will not be required to pay the balance. If we cannot re-let your pitch, no refund will be made (we retain your full payment). If you cancel within 7 days of your stay, no refund will be made (we retain your full payment). If you are worried about the prospect of cancelling, please take out holiday insurance. Bookings are not transferrable to other guests without prior agreement from us in writing or email.
Cancellation by us
Stackpole Under The Stars reserves the right to cancel a camping or glamping holiday at short notice if we are unable to provide safe accommodation or camping facilities due to extreme weather conditions, ill health, fire, flooding or other extenuating circumstances beyond our control. In the unlikely event of such circumstances, you will receive a full refund. Stackpole Under The Stars cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation.
Arrival and departure times
The arrival time for our camping pitches is from 1pm. For our glamping accommodation, the arrival time is from 3pm. We are always grateful if you can give us a rough idea of what time you think you will be arriving as we like to be here to greet our guests if possible. There is no last arrival time but we ask that you tell us in advance if you expect to arrive after 9pm. On your day of departure, we ask that you vacate our camping pitches by 11am and our glamping accommodation by 10am.
As we are a small, quiet campsite and often attract young families, we only take exclusive (whole-site) bookings for large groups. We are happy for family groups to book accommodation together but we ask that you follow the campsite rules of consideration for others (see point 10). We will do our best to pitch family camping groups alongside each other, but as we only have 5 camping pitches this may not be possible, especially if you do not book all the pitches you need at the same time.
If you bring your own fire pit or barbecue with you, please ensure you sit it over one of our fire pit base units to avoid scorching the grass. We do not permit disposable barbecues. Our glamping accommodation comes with a large outdoor fire pit which should also sit over the base unit. Smaller fire pits are available to hire for camping pitches. Please keep your fire pit or barbecue well away from your accommodation. Do not leave your campfire/barbecue unattended and think carefully about whether to light a fire if it is windy. Please make sure you leave all barbecues and fires outside even if you think it has gone out. Carbon Monoxide is a deadly, invisible poison. There are ash bins alongside our shower and toilet blocks. PLEASE DO NOT PUT HOT ASH IN THE ASH BINS. This causes fires. There are fire extinguishers on site which will be pointed out to you on arrival. Logs, kindling and locally-made charcoal are available to buy on site, along with matches and firelighters.
We operate a policy of no pitch-side parking. This keeps the site safe for our guests, helps to keep the field in best condition and maintains the peaceful atmosphere. However, ground conditions permitting, we allow camping guests to drive their vehicles to their pitch to set up and to take down. If we consider the ground unsuitable, we will let you know and there are wheelbarrows provided for you to ferry your stuff to your pitch. At all other times vehicles must be parked on the gravelled parking area or the bays in front of the house. Our yurt, bell tent and safari tent glamping guests will need to use the wheelbarrows to ferry their belongings the short distance to their accommodation as there is no vehicle access on that part of the campsite. We allow campervans/motorhomes to drive on and off the field by necessity, as we have only grass pitches – there is no hardstanding permitted in our National Park location. Please note if you bring more than one vehicle, at our busiest times we may need to ask you to park your second vehicle away from the campsite as we have limited parking spaces.
Danger – Carbon Monoxide
If you choose to use a stove or wood burner inside your own tent it must have a chimney flue, and it is your responsibility to ensure the flue is correctly fitted and that you have a fully functioning Carbon Monoxide alarm. Under normal circumstances, a correctly fitted flue will extract all smoke from a tent, but certain winds can create backdrafts which can cause smoke and toxic fumes to re-enter the tent. Carbon Monoxide is a deadly, invisible poison.
Parents are responsible for the supervision of their children on site at all times. Stackpole Under The Stars accepts no responsibility for injury incurred on site.
Consideration for others
Our guests choose our campsite because it is small and family-friendly and for the quiet enjoyment of nature. It’s important to us that all of our guests feel relaxed and enjoy a good night’s sleep ready for exploring the fantastic coast and countryside. We do not allow amplified music – quiet radios and stereos / other sound systems are permitted until 10.30pm but please be prepared to respect requests from other campers if your music is disturbing them. Likewise, quiet talking only is permitted after 10.30pm. If we feel any camper is disturbing the peace or causing a nuisance they may be asked to leave immediately and without a refund.
We allow well-behaved dogs on leads. However, if we have a large number of dogs on the campsite we may restrict new bookings that include dogs. Please keep your dog on a lead and under control on site and clean up any mess, particularly as we often have young children playing barefoot in the field. Be aware that farm cats are regular visitors and we are adjacent to a dairy farm and accessible National Trust woodland. Dogs are permitted in our glamping accommodation but we ask that they are in a crate (preferably, otherwise bed/basket) at night and are not permitted on the beds, bedding or sofas. We reserve the right to charge for excessive cleaning as a result of your dog being in the glamping accommodation. If you would like to bring your dog, please call us to ensure our quiet, rural campsite is a good match for your dog. (If your dog is not happy on a lead – or more importantly if you will not be happy with your dog being on a lead – then we are sorry but this is not the campsite for him/her/you).
All of our glamping accommodation is strictly NO SMOKING. If you smoke, please do so outside and dispose of your cigarette ends in the campfire or ash bin.
Rubbish and recycling
As part of our affiliation to the Greener Camping Club we ask you to recycle your rubbish. This means separating (and rinsing) glass, cans, plastic, paper, cardboard, etc. and placing it in the bins provided on the gravelled area or in the wash room. What is left, i.e. only items that are not recyclable should be placed in the general waste bins.
Stackpole Under The Stars cannot be held responsible for any lost or stolen property.
Mobile signal and Wi-Fi
Mobile phone signal is hit and miss in this rural area so please do not rely on it working. We do not have Wi-Fi on the campsite.
If you have a Stackpole Under The Stars glamping gift voucher for a one-night stay this is valid during low season only (outside of school and bank holiday periods). However, you are welcome to book a longer stay and pay the difference during high season. Please contact us to arrange your stay, subject to availability.
Additional Terms & Conditions for our Glamping Accommodation
Gas for the outdoor hob (yurts and bell tents) is included in the price of the booking. Please use the gas cooker in accordance with our instructions and never leave it lit if you are not there.
Wood-burning stoves (yurts). Please use the wood-burning stove in accordance with our instructions and never leave a lit fire unattended. One basket of fire wood and kindling is included in the price of your booking, plus matches and firelighters.
Breakages/damage. Should any significant damage or breakage occur, other than acceptable wear and tear, a charge for replacement may be made. We reserve the right to charge for excessive cleaning where glamping accommodation has been left in an unacceptable condition, through waste, litter, presence of dogs, interference in the structure, movement of furniture and contents etc. Guests will be held responsible for any fire, smoke or general damage, or alteration to the structure caused by negligence.
